CREW AND EXTRAS

A couple of questions...

Are he crew and extras just expected to show up every day?
How do you keep track who comes and who doesn't?
How does the extras and crew know where to go?

Well...I would imagine all of those things would depend on what you need for your project...and your ability to manage your cast and crew as (and I'm only guessing here) the man in charge...

I would also a schedule of some sort would probably help.
 
That's specifically what call sheets are for. They tell everyone involved in the project when they need to be on set, where that might be (in the event that you're shooting multiple locations) and what time to be there.

It sounds like you could benefit from a good Assistant Director. They would typically handle this stuff so you can focus on the film, etc.
 
Yes. The crew and extras are expected to show up every day they
are needed - just like a real job.

On big movies the assistant directors (usually the second second AD)
keep track. On small movies the first AD keeps track. On no budget
movies you do it.

You tell them.
 
The call sheet is given out when they are ready.

On small shows - like a short film shooting for 2 or 3 day - the call
sheet for all three days is given out before the shoot days. On most
shows the call sheet is being worked on and revised during the shoot
day and are given out just before wrap.

You can give out call sheets to the cast and crew when ever you want.
 
I guarantee you if you spend a few weeks reading some good books like Independent Feature Film Production by Goodell, you will learn as much as you ever wanted to know about the details of production like Call Sheets, what they look like, who gives them out and when, and why they are important.
